What Information We Collect

We collect and store the following personal information about students enrolled in our programs:

• Identity information: first name, last name, graduation year
• Contact information: student email address, parent/guardian email address
• Academic records: standardized test scores (ACT, SAT, and practice tests), test dates, section scores, answer-level data, and tutor notes
• Account information: for staff users — name, email address, and hashed password

We do not collect payment information, social security numbers, or government-issued ID numbers through this system.

How We Use This Information

Information collected in this system is used exclusively to:

• Track and analyze student academic progress over time
• Identify areas for focused study and tutoring
• Share score reports with students and parents/guardians
• Support tutors in delivering personalized instruction

We do not use student data for marketing, advertising, or any purpose unrelated to academic tutoring services.

Who Has Access

Access to student records is strictly limited:

• Administrators have full access to all student records within the organization
• Tutors have access only to the records of students assigned to them
• Students (if given a login) have access only to their own records
• Parent/client accounts have access only to records of students explicitly linked to their account

No student data is accessible to other students or to the general public.

Third-Party Services

This system may interact with the following third-party services:

• Email delivery (Gmail/Google Workspace SMTP): Score reports sent via email are transmitted through Google's mail servers. Google's privacy policy applies to that transmission.
• TeachWorks (optional integration): If enabled, student roster information is synchronized with your TeachWorks account. Only name, contact, and external ID fields are shared.

We do not sell, rent, or share student personal information with any third party for commercial purposes.

Data Retention

Student records are retained for as long as the student is active in our system. Administrators may archive or delete student records at any time. Upon termination of services, we will delete or return all student data upon request.

Security

We take reasonable technical measures to protect the information stored in this system, including:

• All connections are encrypted via HTTPS/TLS
• Passwords are stored using industry-standard one-way hashing (Werkzeug/bcrypt)
• Access is controlled through role-based authentication
• CSRF protection is applied to all form submissions

No system is completely secure. In the event of a data breach that affects your personal information, we will notify affected parties as required by applicable law.

Children's Privacy

This system is used in connection with tutoring services for students of varying ages, which may include minors under 13. We collect only the minimum information necessary to deliver tutoring services. Parent or guardian consent is obtained as part of the enrollment process with Achieve Tutorials. If you believe a minor's information has been collected without appropriate consent, please contact us immediately.

You have the right to:

• Request a copy of the personal information we hold about you or your child
• Request correction of inaccurate information
• Request deletion of your or your child's records
